Job Summary:
To manage the end-to-end interactions with potential and current clients, our client, an e-visa processing and immigration consultancy company, needs an associate consultant, e- visa and immigration. to assist management with day-to-day operational activities while also carrying out the business operations unit’s broader strategy.
Primary responsibilities:
- Takes applicants with appointments for e- visa processing and escorts them there.
- Keeps up with laws, rules, and SOPs related visa issues.
- A whole range of actions, including screening, data entry, e- visa processing classification, document scanning, picture and fingerprint capture, printing, quality control, tracking, and issuance, can be taken on all types of visas after receipt, either by an individual or as part of a team.
- Processes all types of visa requests, from the most straightforward to the most complicated, quickly and correctly while being courteous to both applicants and embassy staff.
- Monitors applications, especially urgent or well-known instances.
- Handles sensitive and private application information and a high level of professional accountability.
- Daily checks on the state of every case awaiting SAO. sends an alert each time a SAO reply is received to the adjudicating officers.
- Maintains constant communication with the Deputy Consul General, Visa Unit Chief, and Staff, offering guidance, suggestions, and feedback on visa operations as necessary to set up state-of-the-art daily visa processing.
- Without the need for direct monitoring, prepares files for shipment for archiving in complete compliance with the Consular Management Handbook.
- Translates documents and communications, including diplomatic notes, and offers interpretation and translation services in English or other language as needed, including aid with visa interviews. Obtains information for the officer by making phone calls and sending emails in both languages.
- Creates and updates translations of reports, graphs, charts, templates for letters, and SOPs.
Service to customers:
- Fluently and immediately addresses a wide range of complicated consumer questions and concerns in both Bengali and English.
- Autonomously responds to regular questions (about 80% of all requests), detecting important and difficult questions, and swiftly directing them to the Correspondence Team Leader.
- Handles unhappy clients requesting adjustments to visas that contain problems politely and effectively.
- Sends emails to applicants to schedule passport delivery or collection.
Technical Activities:
- Places in the applicant’s passports and visas that have been issued. Performs quality assurance checks on issued visas to guarantee fraud prevention measures and accurate information.
- Independently uses a personal computer, digital camera, laser printer, scanner, ten-print fingerprint scanner, and other specialized equipment to collect application data, take pictures, and produce visas that are machine-readable.
- Diagnoses hardware, software, and processing issues related to consular matters.
Backup obligations:
- Provide support as a consular cashier as needed, ensuring that all fees are collected, documented and deposited with the embassy’s class B cashier in strict compliance with the Handbook’s rules. In order to meet employee turnover and leave schedules, act as backup e-visa processing portfolio staff as necessary.
- Performs other tasks as required.
Minimum job requirements:
- Education/Certifications: Bachelor with at least a second class Lower in Business Administration, International Relations, Social Sciences, or a similar field (2:2).
- In addition to professional training or skill acquisition in this subject, having a Masters degree in a relevant topic will be advantageous.
- Experience: Two years or more of related job experience.
- Experience in client relations or relationship management, as demonstrated by knowledge, skills, and abilities.
- MS Office proficiency and working knowledge of common office equipment.
- A concentration on the client’s needs.
- Excellent management, negotiating, and communication skills.
- Attitude toward solving issues.
Conditions of Work:
- Office hour: Sat-Thurs (9 am-5 pm)
